OneDrive

What is OneDrive?

OneDrive Leeds Beckett is your individual file storage. With OneDrive you can access and share your documents, photos, and other files from your Apple or Windows device, (PC or  Mac), and any other devices you use. Key features:

  • Use the Office 365 mobile Apps to stay productive and work together, no matter where you are.
  • The OneDrive app for your personal device lets you easily work with your personal and work files when you're on the go.
  • Quickly open and save OneDrive files in Office apps like Word, Excel, PowerPoint and OneNote.
  • Easily find photos thanks to automatic tagging.
  • Get notifications when a shared document is edited.
  • Share albums of your favourite photos and videos.
  • Highlight, annotate, and sign PDF files in your OneDrive.
  • Access your most important files offline.

Accessing documents through OneDrive

To open a document from OneDrive:

  • Open the relevant Office 365 program, eg Microsoft Word.
  • You will then see a list of “Recent Documents” that may contain items from your OneDrive that you are currently working on.
  • There is also an option to “Open other Documents” where you can select your OneDrive folder and see all the documents that are saved there.
  • Be aware that on campus machines may take a moment to synch with your OneDrive account. Simply wait a few minutes and it will connect.
  • If the folder is not appearing, there will also be a OneDrive folder on File Explorer that can be accessed (you must already be logged in to OneDrive).

Saving and uploading your work

OneDrive will automatically save your work to the cloud when changes are made. However it is recommended that you save your work periodically (every 10 minutes or so) onto another storage device, for example a USB, just to be sure that your work is safe.

You can also upload files and folders to OneDrive to save your work. You can copy or move files between folders within OneDrive, or from other folders on your computer. When you move files, you're removing them from your PC and adding them to OneDrive. Drag files from the file list in the right pane to OneDrive in the left pane.
